Position Summary
The Administrative Assistant supports and serves the administrative needs of the two (2)
vice presidents; these high-performing/high-volume positions maintain stakeholder
relationships, evaluate and prepare bids, manage board affairs, manage special projects
and support the president of the organization. Additionally, this position will support the
daily business activities of Sports Indiana.
Essential Duties and Responsibilities
- Scheduling, Travel & Logistics
- Schedule travel and meetings (e.g. participants, RSVP’s, locations)
- Plan and communicate logistics (e.g. meeting materials, transportation/parking,
food/drink, nametags, etc.) - Provide onsite support and record meeting activities (e.g. check-in, attendance,
action items, needs/next meeting) - Plan, communicate and track follow-up activities
- Maintaining database records (additions/deletions/updates)
- Conducting general research (e.g. internet) and basic phone/written communication (e.g. returning calls, ‘thank you’ notes)
- Managing financial workflows (vendor quotes/invoices, budgetary information, insurance
certificates, check requests and reimbursement forms) - Updating Sports Indiana website content
- Coordinating intern/staff interviews
- Providing general administrative support
Position Qualifications
- Superior knowledge in use of computer and standard computer applications (Microsoft
Outlook, Word, Excel, and PowerPoint) - Proficient in spoken & written word
- Strong, proven ability to multi-task
- Experience with computer databases is desired (but not required)
- Prior administrative support experience is desired (but not required)
